Privacy Policy

Pulse Works respects your privacy and processes personal information responsibly, transparently and only for legitimate business purposes.

We may collect information that you provide directly, including your first name, last name, email address, phone number, selected service requirements, project notes and subsequent correspondence. Our website and hosting systems may also record limited technical information such as an IP address, browser type, device information, requested pages, timestamps and security logs.

3. Why we process information

We process personal information to:

• respond to project enquiries and prepare quotations;
• communicate about requested or contracted services;
• plan, produce and deliver visual media projects;
• manage client, supplier, accounting and legal records;
• operate, secure and improve the website;
• comply with legal and regulatory duties; and
• send marketing only where permitted by law or where valid consent has been obtained.

Providing the contact information marked as required on our enquiry form is necessary for us to respond. If it is not provided, we may be unable to assess or answer the enquiry.

4. Legal grounds

Depending on the circumstances, processing is based on your consent, steps taken at your request before entering into a contract, performance of a contract, compliance with a legal obligation, or the legitimate interests of Pulse Works or a third party where those interests do not unjustifiably affect your rights.

5. Who receives information

Access is limited to authorised Pulse Works personnel and service providers who need the information for hosting, email delivery, website administration, accounting, professional advice or project delivery. Service providers must process information only for the agreed purpose and apply appropriate safeguards. We do not sell personal information.

Information may be disclosed when required by law, a lawful authority or legal proceedings, or when reasonably necessary to protect rights, property or security.

6. International processing

Some technology providers or project collaborators may process information outside South Africa. Where this occurs, Pulse Works will use appropriate contractual or legal safeguards consistent with section 72 of POPIA.

7. Retention

Website project enquiries stored through the form are retained for no longer than 365 days unless the enquiry becomes part of a client relationship, a longer period is required by law, or retention is reasonably necessary for contractual or legal purposes. Other business records are kept only for as long as the purpose, contract or applicable law requires, after which they are securely deleted, destroyed or de-identified.

8. Cookies and analytics

The website may use essential cookies required for security and functionality. Non-essential analytics or marketing technologies will only be enabled with an appropriate lawful basis and consent controls where required. You may change or withdraw consent through the available cookie preferences control when non-essential technologies are active.

9. Security

Pulse Works uses reasonable technical and organisational safeguards intended to protect personal information against loss, unauthorised access, alteration, disclosure or destruction. No internet service can guarantee absolute security.

10. Your rights

Subject to POPIA and other applicable law, you may ask whether we hold your personal information, request access or correction, object to certain processing, withdraw consent, or request deletion where retention is no longer justified. We may need to verify your identity before acting on a request.

11. Complaints

Please contact us first so that we can address your concern. You may also lodge a complaint with the Information Regulator of South Africa through inforegulator.org.za, by email at complaints.IR@justice.gov.za, or using the Regulator’s current published complaint channels.

12. Children

The website and services are intended for business and professional audiences and are not directed at children. Please do not submit information about a child unless you are legally authorised to do so and it is necessary for a specific project.

13. Changes to this policy

We may update this policy when our processing, services or legal obligations change. The current version and its effective date will be published on this page.
